How to Manage Proposals

Managing proposals helps you track client responses and convert them to invoices. Here's how:

Viewing Proposals

Access your proposals by clicking "Proposals" in the navigation menu, or visit /proposals.

Editing a Proposal

To edit a proposal:

  1. Click on the proposal you want to edit
  2. Click "Edit"
  3. Update the proposal details, line items, or terms
  4. Click "Update Proposal" to save

Updating Proposal Status

Track your proposal's progress by updating its status:

  • Draft: Still being prepared
  • Sent: Shared with the client
  • Accepted: Client has accepted
  • Rejected: Client declined
  • Expired: Past the expiry date

Sending Proposals

To share a proposal with a client:

  1. Open the proposal
  2. Click "Send Proposal"
  3. Generate a portal link or send via email
  4. The client will receive access to view the proposal

Generating Proposal PDF

To download a PDF version:

  1. Open the proposal
  2. Click "Download PDF"
  3. A professional PDF will be generated and downloaded

Converting to Invoice

When a proposal is accepted:

  1. Open the accepted proposal
  2. Click "Convert to Invoice"
  3. The system creates a new invoice with the proposal's details
  4. You can then edit and send the invoice

Linking Milestones

You can link project milestones to proposals, similar to invoices. This helps track which milestones are included in proposals.

💡 Tip:

Set an expiry date on proposals to create urgency. Expired proposals can be updated and resent if needed.
